For users who have not yet initiated a disbursement, the table will appear empty, signalling the start of new financial management possibilities.

New Disbursement

The process begins with a click on the "New disbursement" button situated prominently at the top of the page. This is your gateway to adding a new disbursement into the system. During this process, you will be prompted to fill in several critical pieces of information:

  • The amount of the disbursement.

  • Recipient's details including name, bank details, or any other pertinent information.

  • Any notes or descriptions that provide context to the disbursement, which are especially useful for record-keeping and clarity.

Filling in these details accurately is crucial for the flawless execution of your disbursement requests.

Managing Disbursements

Once a new disbursement is submitted, it finds its place within the disbursement table on the page. This table is an efficient tool for monitoring your fiscal movements, showcasing essential information such as:

  • Date of disbursement.

  • Amount disbursed.

  • Recipient details.

  • Status of the disbursement, informing you whether it's pending, completed, or in any other state.

  3. Form Filling:

    • Customer Details: Enter the requesting customer's name, email address, and account number.

    • Disbursement Amount: Input the disbursement amount, ensuring it does not exceed the balance amount available at the agent facility.

    • Agent Markup: Enter the agent's markup percentage rate.

    • Payment Option: Decide between:

      • One-Time Payment: As the default, no additional action is required.

      • Split Payment: For splitting, click on the "add payment" button to:

        1. Fill in the upcoming payment's date and amount in the modal.

        2. Click "Add" to include this payment in the schedule.

        3. Ensure the total of all scheduled payments equals the disbursement amount.

      • Start Date: Specify the disbursement's commencement date.

      • Duration/End Date: Input the duration in days or select an end date.

  4. Narration: A narrative description is mandatory for a comprehensive disbursement creation process.

Edit Disbursement

To modify an existing disbursement, ensure its status is still pending; once the payout has been executed, the ability to edit is revoked. Below are the steps to update a disbursement:

  1. Accessing Edit Mode: Locate the desired disbursement entry under the "Disbursements" section. Click on the action button beside it, and choose "Edit disbursement". This action will bring up a form on the right side similar to the initial creation form.

  2. Making Changes: Amend the disbursement details as needed. The fields available for editing mimic those during the initial creation:

    • Agent Selection

    • Customer Details

    • Disbursement Amount and Agent Markup

    • Payment Schedule (One-Time or Split Payment)

    • Start and End Date

    • Narration

    Ensure all modifications adhere to the protocol and guidelines initially followed during creation.

  3. Saving Changes: After adjusting the disbursement details, finalize the process by clicking on the "Save" button located at the bottom of the form. This action will update the disbursement with the new details.

Remember, precision is crucial during amendment to avoid discrepancies and ensure the correct execution of the disbursement schedule.

Delete Disbursement

To remove an existing disbursement, it must be in a pending state. Once a disbursement's status changes from pending, deletion is no longer possible. Follow these steps for deletion:

  1. Initiating Deletion: Navigate to the disbursement you wish to delete in the "Disbursements" section. Press the action button next to the disbursement entry, and select "Delete disbursement" from the drop-down options.

  2. Confirming Deletion: Upon selection, a confirmation dialog box will appear. To proceed with the deletion, click "Yes". If you decide not to delete the disbursement, select cancel. This action will prevent any changes and keep the disbursement as is.

Please be cautious and review the disbursement details thoroughly before confirming deletion, as this action is irreversible.

Terminate Disbursement

Terminating a Disbursement is a critical step that finalizes its status, preventing any further modifications. Follow these steps to terminate a disbursement:

  1. Initiate Termination: Go to the "Disbursements" section and locate the disbursement you want to terminate. Click on the action button adjacent to the specific disbursement entry. From the menu, choose "Terminate disbursement".

  2. Confirm Termination: A confirmation modal will appear to ensure that you want to proceed with the termination. This modal serves as a checkpoint to avoid unintentional terminations. Click "Yes, terminate" to confirm your decision. If you have changed your mind or clicked it by mistake, select "No, go back" to cancel the action and leave the disbursement unchanged.

Please make sure to double-check the disbursement information before you confirm termination, as this action cannot be undone.

Rollover Disbursement

Rollover a Disbursement enables you to extend its duration by assigning a new end date. This action is particularly useful for extending the validity of funds or allocations without creating a new disbursement from scratch. Here’s how to rollover a disbursement:

  1. Initiate Rollover: Navigate to the "Disbursements" section and find the disbursement you wish to extend. Click on the action button next to the relevant disbursement entry. In the dropdown menu, select "Rollover disbursement".

  2. Set New End Date: In the rollover modal, you will be prompted to choose a new end date for the disbursement. Select the desired date from the calendar interface. This new date extends the disbursement's active period, allowing for additional flexibility.

  3. Confirm Rollover: After setting the new end date, a confirmation modal will appear to verify your decision to rollover the disbursement. This step prevents accidental extensions of disbursement periods. Click "Yes, rollover" to confirm the new end date and proceed with the rollover. If you wish to abort the action, select "No, go back" to cancel and leave the disbursement as is.

Please ensure the new end date is accurately chosen, as the rollover action impacts the disbursement timeline and associated budgeting.
